The Department of Radiology has an outstanding opportunity for a Faculty Affairs Specialist.
The Faculty Affairs specialist contributes to the growth and success of the Radiology department by executing the mission and vision. The faculty affairs specialist reports to the Dept HR Administrator and is a key member of the human resources team. It is expected that they will be a faculty affairs content expert and as such assures that the activities in faculty academic human resources are completed in a timely and accurate manner. Using independent judgment, the faculty affairs specialist provides oversight of the functions of faculty affairs for the Department of Radiology. Primary responsibilities include oversight and strategic planning of faculty appointments, reappointments, compliance requirements, annual reviews, promotions, faculty onboarding, separation processes and visas for faculty, visitors, postdoctoral scholars, and clinical trainees in the Department of Radiology. Work in creative partnership with the Chair, Vice Chairs, Assistant Directors, Dept HR Administrator, section chiefs, fellowship directors, faculty, staff and the Radiology management team to realize the vision and goals of the Department.
RESPONSIBILITIES:

Major duties and responsibilities:
Faculty Affairs (90%):
• Oversee the hire of multiple ongoing faculty, fellow, clinical, and affiliate appointments and reappointments within assigned sections in the Department of Radiology. Intensive communication with section chiefs and fellowship directors including interpreting policies, in order to assure accurate and timely completion of required materials for appointment packages; troubleshooting and resolving difficulties that arise in any aspect of the appointment process. Review and advise department administration, faculty, and staff on new policies and procedures relating to faculty, fellow, clinical, and affiliate faculty. Interact directly with the Department Chair and Dept HR Administrator on issues related to appointments and reappointments. Develop and manage a tracking system for academic appointments.
• Medical Staff Credentialing & Practice Plan Coordination: manage/coordinate medical staff credentialing to ensure that faculty members appointed within the Department are able to provide clinical services in conjunction with their approved faculty appointments. This position acts as a department expert and is responsible for the management and oversight of the medical staff credentialing process for regular and clinical faculty. This area of responsibility requires a high level of knowledge and understanding of the credentialing process to effectively manage and oversee this highly regulated and essential component of faculty appointments. In management of the practice plan process, this position must have a good working of knowledge and understanding of both the UW Physicians (UWP) and Children’s University Medical Group (CUMG) practice plans.
• Faculty Review Process: partner with the Chair, Dept HR Administrator, and Section Chiefs to manage the annual faculty review processes to ensure compliance with faculty code requirements and University deadlines; manage the faculty renewal voting process. Oversee the management of clinical peer/teaching evaluation process. Develop a tracking system to ensure annual reviews performed for the faculty each year according to rotating schedules and provide guidance to Chair, Section Chiefs, Dept HR Administrator, management team, and program coordinators on annual reviews.
• Promotion Process: partner with the Assistant to the Chair to advise the Chair, Dept HR Administrator, department promotions committee, and faculty on the promotion process and timelines including recommending methods of data collection/submission, ensuring compliance with the Faculty Code requirements, and University and School of Medicine timelines. Manage the clinical and affiliate promotions process using Interfolio. Develop a tracking system for the reappointment and promotion processes. Develop and oversee the faculty voting process for promotions.
• Advise section chiefs, managers, program coordinators and faculty on faculty leave policies and procedures.
• Advise faculty and managers regarding visa rules and regulations. Process faculty appointments for foreign nationals (visiting scholars, visiting scientists, visiting faculty, postdoctoral scholars, faculty, and clinical trainees); oversee Workday submission for these appointments. Work with International Scholars Office (ISO) on visa applications and related issues; partner with program coordinators, UW ISO office, and School of Medicine Academic Appointments and Compensation (AAC) office to ensure VISA applications for the department are processed timely and accurately. Maintain up-to-date records, and timelines for all visas. Must have experience and knowledge of working with multiple types of VISAs and requirements.
• Act as liaison with delegated authority and independent decision making to prospective candidates in partnership with the Office of Academic Personnel (OAP), Academic Appointments and Compensation (AAC), UW Office of Medical Staff Appointments (OMSA), University of Washington Physicians, Children's University Medical Group, and between faculty, administration, and the Chair’s Office.
• Process Improvement/strategic planning: Actively guide process improvement efforts to improve the efficiency and effectiveness of the department. Participate in process improvement initiatives in the Department, School, and UW (where applicable). This position will constantly evaluate and monitor the internal academic affairs needs of the department and will assist the Dept HR Administrator and management team in initiating and refining processes.

• Oversee Workday submission of new faculty appointments and academic appointments, data changes, temporary and administrative supplement for faculty, and faculty terminations to ensure correct data entry in compliance with the Office of Academic Personnel (OAP) and Academic Appointments and Compensation (AAC) policies and guidelines. Initiate and oversee faculty relocation incentive and/or lump sum moving allowance reimbursements.
• Develop and manage the Academic Rad HR website for the Department of Radiology, update policies and procedures and documents as needed.
• Partner with the Dept HR Administrator and management team to administer and develop best practices within the department of Radiology.
• Implement a comprehensive records retention and archival process for digital HR faculty records that meet all university requirements.
• Participate in the recognition program for the department for faculty and staff.
MINIMUM REQUIREMENTS:
• Bachelor’s Degree in BA, Human Resources Management, or related field.
• At least three years of increasing responsibility in a human resource setting
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

Desired Education/Experience/Skills:
• Knowledge of university policy and rules and regulations, experience working in human resources in a higher education institution
